Privacy Policy

This Privacy Policy explains what information Portvex (“we”, “us”) collects, how we use it, and the choices you have. It applies to our website, web application, and Chrome extension.
1. Information we collect
- Account information — your name, email address, and authentication details when you sign up (including via Google sign-in).
- Meeting content — the audio you choose to record, and the transcripts, notes, insights, and follow-up drafts generated from it.
- Usage and settings — your plan, recording-minute usage, workspace type, and preferences such as default sender details.
- Payment information — handled by Stripe. We do not store your full card number; we keep a customer and subscription reference.
- Technical data — limited data such as log and device information needed to operate and secure the Service.
2. How we use your information
- Provide the Service — record, transcribe, analyze, and draft follow-ups;
- Manage your account, subscription, and usage limits;
- Send transactional messages and respond to support requests;
- Maintain security, prevent abuse, and comply with the law;
- Improve reliability and performance of the Service.
We do not sell your personal information, and we do not use your meeting content to train public AI models.
3. AI and automated processing
To transcribe and analyze your calls, your audio and transcript are processed by our transcription and AI providers on your behalf. This processing is used only to generate your notes and follow-ups. AI-generated output may contain errors, so please review it before relying on it.
4. Service providers (subprocessors)
We share data with vetted providers only as needed to run the Service:
- Supabase — database, authentication, and file storage.
- Vercel — application hosting.
- Stripe — payment processing and billing.
- AssemblyAI — speech-to-text transcription.
- Anthropic (Claude) — generating summaries, insights, and follow-up drafts.
- Resend — sending emails, including follow-ups you choose to send.
- Telnyx — sending SMS follow-ups (Business plan).
5. Data retention
We keep your account and meeting data for as long as your account is active or as needed to provide the Service. You can delete individual recordings, transcripts, and follow-ups, or your entire account, at any time. After deletion we remove the data from active systems within a reasonable period, subject to any legal retention obligations.
6. Security
Recordings and transcripts are encrypted in transit and at rest, and access is scoped to your account using row-level security so other users cannot access your data. No system is perfectly secure, but we work to protect your information using industry-standard measures.
7. Your rights and choices
Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. You can exercise many of these directly in the app, or contact us at contact@leadsmatic.com and we will respond as required by applicable law.
8. Recording and other participants
When you record a call, it may contain the voices and information of other people. You are responsible for having any consent required by law before recording. If you are a participant whose call was recorded and you have questions, please contact the account owner who made the recording, or reach us at the email below.
9. International data transfers
Our providers may process data in countries other than yours. Where required, we rely on appropriate safeguards for such transfers.
10. Children
Portvex is not intended for anyone under 18, and we do not knowingly collect personal information from children.
11. Changes to this policy
We may update this policy from time to time. If we make material changes, we will take reasonable steps to notify you and will update the date above.
